Complaint Handling

Learning Level: Frontline
Format: Full Day
Delivery: In Person
In Person

Complaints can either damage customer loyalty or strengthen it. This practical course gives your frontline colleagues the skills to handle complaints professionally, resolve concerns effectively, and create positive outcomes.

Every complaint tells a story. Behind the frustration is a customer who expected something different, and how your frontline colleagues respond can determine whether they stay loyal or leave. In a contact centre environment, complaint handling is one of the most critical skills for protecting relationships and maintaining trust.

This course provides a practical framework for managing complaints from first contact through to resolution. Your frontline colleagues will explore why customers complain, the emotional drivers behind dissatisfaction, and how to respond calmly and professionally, even in challenging situations. By developing greater self-awareness and self-regulation, they‘ll learn how to remain focused on solutions rather than reacting to emotions.

Through real workplace scenarios and interactive discussions, they’ll build the confidence to investigate concerns, communicate clearly, and deliver fair outcomes. They’ll discover techniques for active listening, empathy, questioning, and expectation management that help diffuse tension and create more productive conversations.

The course also highlights the wider value of complaints as a source of insight. Your frontline colleagues will learn how to identify recurring themes, spot opportunities for improvement, and contribute to a culture of accountability where customer feedback drives better experiences. Learning alone does not change culture, application does, and this course provides practical tools for use immediately.
